Position Title: CSJ-HR Administrative Assistant

Reports To: Employee Operations Coordinator

Pay Grid: $17/hour

Department: Association Services

The successful candidate will have the following:

Canada Summer Job Grant Criteria:

• Must be between 15-30 years of age (inclusive) at the start of employment.

• Must be a Canadian citizen, permanent resident or person on whom refugee

protection has been conferred under the Immigration and Refugee Protection Act

(note: international students are not eligible. Recent immigrants are eligible if they are

Canadian Citizens or permanent residents)

• Must be legally entitled to work according to all relevant provincial legislation and

regulations.

Education/Certifications/Credentials/Professional Registration

• Certificate in Office Administration an asset

• Standard First Aid, CPR-Level C

• Evidence of a clear Police Information Check (with Vulnerable Sector Search if

applicable), within the last six months

• Valid driver’s license with a class 07 automobile insurance coverage business use (or

pleasure with occasional business use) and a minimum of $2,000,000 in liability

coverage

Knowledge & Skills

• Fluent in MS Office suite

• Exceptional communication skills

• Excellent organizational and time management skills

• Works well in a team environment but can also be self-directed.

What does this role look like at the YMCA of Medicine Hat?

Reporting to the Employee Operations Coordinator, the responsibilities and duties of this role

will include but is not limited to:

Customer Service

• Reception duties, including answering the phone, responding to the doorbell, and/or

staffing a reception desk.

• When responding to the office doorbell, greet visitors professionally and courteously.

• Respond to phone calls/emails within 24 business hours.

• Interaction with volunteers, members, employees, and the public at large

YMCA Values

• Demonstrate and promote a personal understanding of and appreciation for

the mission, vision, and values of the YMCA and its programs and services.

• Demonstrates appropriate behaviors in line with our Mission, Vision and

Values as reflected in our YMCA competencies; takes a member focused

approach to increase their understanding of programs offered across the

Association.

Teamwork

• Provide administrative support as needed to the Employee Operations Coordinator

including as outlined in this job description.

• Assist with decentralized HR processes such as onboarding packages, preparing

employment contracts, job postings, etc.

• Work effectively within the HR team, contributing to its overall success by:

- Promoting the YMCA’s annual Strong Kids Campaign

- Promoting and/or attending YMCA events

- Contributing to a positive and healthy workplace culture

- Other duties to assist the team, as assigned.

Interpersonal/Communication Skills

• Communicate effectively with coworkers, supervisors, managers, and the senior

leadership team.

• Ensure workplace conflicts are resolved quickly, following YMCA policies and

procedures.

Quality of Work

Administrative duties:

• Use of Adobe to make various PDFs, gain electronic signatures, etc.

• Assist with document formatting, as needed.

• Digital and paper filing, with ongoing maintenance of filing systems

• Database creation and/or data entry

• Light office cleaning and organization of area

Compliance with Legislation and YMCA Policies and Procedures

• Adherence to the following at all times:

• YMCA Child Protection and Operational Policies and Procedures

• Public health and safety regulations

• Occupational Health and Safety

SAM Standards

• Achieve all quality standards and targets established under YMCA best practices and

the YMCA’s SAM 2.1 program.

• General cleaning as required around the facility.

• Ensuring all staff are aware of SAM 2.1 standards, and work with them to create a

culture of excellence in adherence to guidelines and expectations outlined by the SAM

2.1 manual.

Work Environment and Physical Demands

• Shared office space, located on the main floor.

• Stairs to the basement, as needed to access storage, additional washrooms, and staff

room.

• Sitting at a desk and using a computer for most of the day

• From time to time, may need to lift boxes of files weighing up to 20 lbs.

• May be exposed to all weather conditions when walking outside to/from vehicle.
